Appointment coordination

Schedule the next appointment while creating the referral.

A referral is only useful if the patient completes the next step. When the receiving clinic allows it, Natelio lets the referring team book an eligible appointment slot before the patient leaves the workflow.

The problem

What teams are trying to fix.

Patients are told to wait for a call, then never schedule.

Receiving clinics have different appointment types, providers, hours, and approval rules.

Staff waste time calling back and forth to find the first available opening.

Referral status and appointment status live in different systems.

What improves

What Natelio helps teams do.

Bookable appointment types exposed to referring clinics

Provider availability checked before the appointment is created

Pending or confirmed appointment status based on receiving clinic rules

Referral and appointment records linked for follow-up visibility

Workflow

How Natelio handles this in practice.

01

Respect clinic controls

The receiving clinic decides which appointment types are bookable by referrals, which providers can receive them, and whether approval is required.

02

Pick a real slot

Show only times that fit the receiving clinic's provider schedule, appointment rules, and current bookings.

03

Attach the appointment

The selected slot is created as a referral-sourced appointment and linked back to the referral for both operational follow-up and reporting.

FAQ

Buyer questions about referral appointment scheduling.

Can every referral include appointment scheduling?

No. Appointment scheduling is available when the receiving clinic is on Natelio, has enabled referral booking, and has bookable appointment types with available provider schedules.

What happens if the receiving clinic requires approval?

The appointment request moves into a pending state so the receiving clinic can review it, approve it, or adjust the appointment before it is confirmed. If the clinic allows instant confirmation, eligible slots can be confirmed during booking.

How does Natelio prevent double-booking?

Before a time is offered, Natelio checks the receiving clinic's available schedule and existing appointments. Staff only see eligible slots, which helps avoid two teams choosing the same time.
